    1. What Briefly iQ does

    Briefly iQ turns meeting transcripts, notes, and source documents into structured business outputs.

    Typical outputs include participants, executive summary, minutes, decisions, actions, next steps, open questions, risks, and meeting quality assessment. The result is always an editable draft, so the user can review and correct it before sharing.

    2. First setup

    Before generating, choose how the app will connect to AI.

    • Open Settings > AI connection.
    • Choose an online provider if you have an API key: OpenAI, Claude, Gemini, Groq, or Mistral.
    • Choose Ollama Local if you want local generation and Ollama is installed with a model available.
    • Save settings after selecting the provider and entering any required API key.

    3. Generate page

    This is the main working screen.

    • Upload a supported file or paste transcript text into the input area.
    • Select the output theme that should control tone, language, sections, styling, header/footer, signature, and subject-line rules.
    • Click Generate and wait until the status changes from Working to Done.
    • Review the subject line and editable output draft before exporting or archiving.

    4. Editing the output

    The generated draft can be refined before it leaves the tool.

    • Use the formatting toolbar for bold, italic, underline, alignment, lists, links, and headings.
    • Use the subject field to correct or rewrite the generated subject line.
    • Export to DOCX or PDF only after the output has been reviewed.
    • Email draft opens the local mail client. Review formatting and recipients before sending.

    5. Theme Profiles

    Theme Profiles define how AI writes and how exported output should look.

    • Default themes are available immediately. They are intended for common communication styles.
    • Custom themes can be created for clients, audiences, project types, or organizational styles.
    • A theme can include language, tone, detail level, custom instructions, output sections, section order, fonts, colors, table style, width behavior, header image, footer image, and signature.
    • Default themes can keep a custom signature. Custom themes can save the full configuration.

    6. Subject line builder

    Subject-line settings help generate consistent titles for emails, archives, and exports.

    • Free structure lets AI decide the subject line.
    • Structured mode can combine Tag 1, Tag 2, short subject text, and date.
    • Tags can represent type, audience, stream, project, or communication purpose.
    • Date format and date position can be configured per theme.

    7. Archives

    Archives keep local read-only copies of saved outputs.

    • Choose an archive group before clicking Archive.
    • Archived content is stored locally and can be searched from the Archives screen.
    • The Archive Index groups saved summaries using the configured tree structure.
    • Click an archived item to view its subject and full content. Delete items only when you no longer need them.

    8. Common issues

    Most early-test issues come from provider setup, local model availability, or export formatting.

    • If Generate does nothing, check that an AI provider is selected and saved.
    • If using an online provider, verify that the API key is entered and active.
    • If using Ollama Local, check that Ollama is running and the selected model is installed.
    • If DOCX or email formatting looks different from the preview, use PDF export as the most stable formatting reference while the prototype is being refined.
    • If a file does not preview, paste the transcript text directly and report the file type during testing.

    Acceptance

    By installing or using Briefly iQ ("the App"), you agree to these Terms & Conditions of Use ("Terms"). If you do not agree, do not install or use the App.

    1. Product status - prototype

    Briefly iQ is an early prototype / MVP provided for testing and evaluation. It may contain bugs, incomplete features, and behavior that changes between versions without notice.

    It is not represented as production-grade software, and you should not rely on it as your sole record of any meeting or decision.

    2. License

    Subject to these Terms, we grant you a personal, non-exclusive, non-transferable, revocable license to install and use the App on Windows devices you control, for evaluation and internal business or personal use.

    You may not reverse engineer, decompile, disassemble, redistribute, sell, rent, sublicense, offer the App as a service to third parties, remove branding or notices, or use the App to develop a competing product by systematic extraction of its behavior, except where mandatory law permits otherwise.

    The App is currently provided without charge and without built-in payments, accounts, or subscriptions. Future versions may introduce personal, business, enterprise, trial, or paid tiers under separate license terms; nothing in these Terms entitles you to free use of future versions.

    3. Third-party AI providers

    The App connects, at your instruction, to third-party AI providers such as OpenAI, Anthropic Claude, Google Gemini, Groq, Mistral, or to a locally installed Ollama runtime.

    • Cloud providers require your own API key. You are responsible for obtaining keys, complying with provider terms, and paying all provider fees.
    • Content you submit to a cloud provider is processed under that provider's terms and privacy policy. We do not control provider pricing, rate limits, retention, or data handling.
    • Ollama Local is a separate third-party tool you install and operate yourself. Installation and model downloads require internet access; offline operation depends on a local model being installed and functional on capable hardware.

    4. AI output disclaimer

    AI-generated output is probabilistic and may be wrong. Summaries may be incomplete; decisions, actions, owners, deadlines, and risks may be misattributed, misinterpreted, or fabricated.

    • You must review and validate all output before using or distributing it.
    • You are solely responsible for the accuracy, completeness, and appropriateness of any final content you export, email, archive, or share.
    • Output is not legal, financial, HR, compliance, medical, or other professional advice, and must not be treated as such.

    5. Your content and responsibilities

    You are responsible for the content you paste, upload, or process.

    • You must have all rights, consents, and permissions required to process meeting content, including personal data and confidential information.
    • You must comply with applicable law and your organization's policies, especially for regulated or sensitive data.
    • You must understand whether the selected provider is online or local before submitting content.
    • You are responsible for managing, backing up, and securing local archives, settings, and API keys, which are stored unencrypted in the current version.

    6. Data and privacy

    The App stores settings, API keys, theme profiles, and archives locally on your device and transmits content only to the AI provider you select.

    Details are set out in the Privacy Policy, which forms part of these Terms.

    7. Known limitations

    Current limitations include imperfect DOCX formatting, email formatting that depends on your mail client, provider context limits for large transcripts, local model quality and speed depending on hardware, local-only archives, and no user accounts, encryption vault, or collaborative features.

    8. No warranty

    The App is provided "as is" and "as available", without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, accuracy, and non-infringement.

    We do not warrant that the App will be error-free, uninterrupted, or that output will be accurate or reliable.

    9. Limitation of liability

    To the maximum extent permitted by applicable law, the Publisher shall not be liable for indirect, incidental, consequential, or special damages, loss of profits, loss of data, business interruption, or damages arising from reliance on AI-generated output, third-party AI provider acts, or loss of locally stored data.

    Where liability cannot be excluded, it is limited to the amount you paid for the App (currently zero) or the minimum permitted by law. Nothing in these Terms excludes liability that cannot be excluded under mandatory law.

    10. Intellectual property

    The App, the Briefly iQ name, the iQ ecosystem branding, and related logos are the property of the Publisher.

    You retain all rights to your input content and to the output you generate, subject to any rights of your AI provider under its terms.

    11. Termination

    The license terminates automatically if you materially breach these Terms. You may terminate at any time by uninstalling the App and deleting its local data.

    Sections 4, 5, 8, 9, 10, and 12 survive termination.

    12. Governing law and disputes

    These Terms are governed by the laws of the Republic of Bulgaria, without prejudice to mandatory consumer protections of your country of residence within the EU.

    Disputes shall be subject to the competent courts of Bulgaria, unless mandatory law provides otherwise. EU consumers may also use the European Commission's Online Dispute Resolution platform: https://ec.europa.eu/consumers/odr.

    13. Changes to these Terms

    We may update these Terms as the product evolves. The effective date will be updated; continued use of the App after changes constitutes acceptance.

    If any provision of these Terms is held invalid, the remaining provisions remain in effect.

    Local-first principle

    Briefly iQ is a local Windows desktop application. We do not operate servers, we do not collect your content, and we do not have access to your data.

    Your privacy exposure is determined by your own device and the third-party AI provider you choose to connect.

    1. What data the App handles

    The App stores data locally on your device in its local settings and data folders.

    • App settings and appearance preferences.
    • Theme profiles: writing style, language, tone, layout, styling, custom instructions, signatures, and header/footer assets.
    • API keys entered for third-party AI providers.
    • Archived summaries, subject lines, groups, theme names, source names, style snapshots, and HTML content.
    • Subject line and archive group settings.

    The current prototype has no user accounts, telemetry, analytics, crash reporting, or cloud sync.

    2. When content leaves your device

    Content leaves your device only when you choose an online AI provider or create an email draft.

    • Online AI provider mode sends submitted content directly from your device to the selected provider, authenticated with your API key.
    • Provider handling is governed by that provider's own terms, privacy policy, retention, training, sub-processing, and geographic processing practices.
    • Ollama Local runs generation on your own machine. Initial installation and model downloads require internet access; after setup, generation can run offline if the local model and hardware support it.
    • Email draft export opens your local mail client. Nothing is sent until you review and send it yourself.

    3. API keys

    API keys are stored locally in the App's settings and used solely to authenticate requests to the provider you selected.

    You are responsible for keeping keys confidential and for all usage and costs incurred under them. The current prototype does not yet include encrypted key storage or a secure vault.

    4. Sensitive and regulated content

    Meeting transcripts often contain confidential business information and personal data.

    • Ensure you have the right and required permissions to process content.
    • Do not submit regulated data to an online provider unless you are authorized and the provider relationship supports it.
    • If in doubt, use Ollama Local mode or do not process the content.

    You act as the data controller for personal data contained in the content you process. iQ Suite Labs does not process personal data on your behalf in the current prototype.

    5. Security of local data

    All data is stored locally and currently unencrypted by the App.

    Anyone with access to your Windows user profile may be able to access settings, API keys, and archives. We recommend full-disk encryption, a strong login password, screen locking, and avoiding shared Windows accounts.

    6. Your rights (GDPR / EU)

    Because iQ Suite Labs does not collect or hold your personal data in the current prototype, there is no data held by us to access, rectify, erase, or port.

    You can view and delete archives, edit settings, remove API keys directly in the App, and remove all data by uninstalling the App and deleting its local data folders. For content sent to third-party AI providers, exercise your rights directly with that provider.

    7. Children

    Briefly iQ is a professional tool and is not directed at children under 16.

    8. Changes to this policy

    We may update this policy as the product evolves, for example if future versions add accounts, sync, telemetry, or licensing services.

    The effective date will be updated and material changes will be highlighted in release notes.

    Online AI provider costs

    When you use an online provider, that provider may charge for API usage.

    • OpenAI, Anthropic Claude, Google Gemini, Groq, and Mistral may each have separate pricing, rate limits, billing accounts, and terms.
    • Briefly iQ does not set or collect those provider fees in the current prototype.
    • The user is responsible for monitoring API usage, billing, limits, and provider account status.

    Ollama Local

    Ollama Local is intended to avoid online API usage fees for generation.

    • Ollama itself is free to use, subject to Ollama's own license and model licenses.
    • Local models may require download, disk space, memory, and suitable machine performance.
    • After installation and model download, local generation can work offline, but initial setup may require internet access.

    Third-party licenses

    Briefly iQ uses third-party technologies.

    • Electron runtime and related open-source packages are distributed under their respective licenses.
    • AI models and provider APIs are governed by the selected provider's terms.
    • A full third-party notices page should be generated before production release.
